IGIC Conference Committee Meeting

Marketing:  Cory completed press link and forwarded it to Ann. It will be distributed from there. Cory displayed costs for 75 T-shirts ($601.50). 30 % specific to the conference, the rest should be generic. The majority decided that 75 is a good number. For the planning committee, golf/polo shirts. The committee would like a brighter color to stand out more.

Michelle went through the preliminary program as it has come back from Nola at the DOT. There was talk about splitting the workshops between the beginning and end of the conference. While agreed to as a good idea, it may be too late in the game to switch to that plan. More verbiage needs to be added about sessions and incorporate the web url to notify people about session content as we find it. Plans to have it in the mail on May 14 or very shortly thereafter. Because this is a couple weeks after the original deadline, do we want to bump the deadline back? It was decided to keep it at the July 1.

Program  There are slots for 75 ? papers and there are currently only 25 committed. The education, data management tracks are missing the most. Discussion about the Friday morning activities resulted in having Rich Varn speak from 10:30 – 11:30 with IGIC input session from 11:30 –12:00. A wrap-up lunch from 12:00 – 1:00 will conclude the activities. Ann will try to keep similar tracks in a single room.

NRCS is no longer interested in pursuing a meeting of their own.

Including a questionnaire in the conference packet and then tallying what we have prior to the Friday wrap-up. Continue collecting others.

Vendors  Bill has 10 booths dedicated. He would like to extend the deadline based on input from potential vendors to July 1. About ? are interested in advertising in newsletter. Prizes from vendors are looking to be pretty slim.

Registration Table  Barb has volunteered to woman the table during the conference. She is going to email list of ideas to members.

Social  There will be 2 GPS vendors exhibiting that could potentially lend equipment for the social events.

Poster  Todd would like to have more posters. Other members will pursue potential candidates.
