IGIC Conference Committee
Meeting
Present: Todd Bishop, Cory
Brockmann, Ann Peton, Mike Killian, Steve Williams, Bill Kapp, Roger Patocka,
Joyce Baker, Lisa Schweitzer, Herb Keuhne, Barb Berquam
Program
- Ann showed a letter that was sent to all potential workshop and
conference session presenters (March 1) inviting them to submit by April 10. She and Lisa
are working on vendor letter that will be sent March 5. The vendor db arrived in Iowa City
for distribution.
- Steve showed draft of letter to be sent to IGIC members asking them
to consider presenting or making recommendations for people to participate in the
conference (we are after new faces) will go out on Monday.
- Ann, Lisa, Dave, Herb and Todd will be reviewing papers that are
submitted. Ann will check to make sure Cindy Park is in the db as well as the list of 1997
vendors.
- Potentially include special session on proposed Land Use Bill
depending on its status at the time.
Marketing
- 5830 estimated postcards should be done March 18/19. When cards have
been printed at DOT, they will be brought to CTRE and then mailed. Extra postcards will be
printed address-free for hand distribution. Cory will take some to the Land
Surveyors conference at Scheman next week.
- Schedule for activities: newspaper article- Cory will draft a press
release and may be able to release it through his public affairs office. Ideally it will
coincide with registration availability. Late April/middle May for release. Feature
article after the conference as a review.
- Registration materials - printing of registration materials after
April 10th (after receiving papers). Electronic submission will be only in the
form of a downloadable/printable .pdf. Preliminary program done by April 15th.
Mock-up done April 5th so things can just be dropped in.
Vendor/Exhibitor
- Letter will go out tonight/Monday (see above)
- Newsletter advertising- Bill will call vendors two weeks after letter
mailing to offer them advertising options. Bill will need to check with Dave to see if
prices have already been set for advertising and scheduling for printing of the next
newsletter. These people should also be listed in the newsletter as a contributor. Final
program inclusion is only for exhibitors.
- Vendor donations: Bill will be soliciting vendors for freebies at the
same time he calls for newsletter adverisement.
Entertainment
- Michelle will contact Kelly for children entertainment (pool
schedules, gym, weight room, exercise facilities, theater) Roger knows of a couple
potential groups.
Poster session
- Todd will use postcard as announcement and find other people through
word of mouth. Setup on Wednesday morning and Thursday. Poster session will not be just
for natural resources, but an open session. Contest will be voted on Thursday evening.
Maps need not have an explanation. Todd will have 3-4 categories with the student category
receiving a monetary prize. Todd will create a minor submission form that will generate
the little label on the map.
